Getting started with TallyWeek
From a blank account to a working board with your team on it. Eight short steps, no card needed.
This guide covers the whole first session: account, workspace, first board, columns, views, people and phone. Each step takes a minute or two. If you already have an invite from a teammate, open the link in the email and skip to step 3.
1. Create an account
Go to tallyweek.com/signup. Choose Continue with Google, or enter your full name, your email address, a password of at least 8 characters and a name for your workspace, then choose Create workspace. Sign-in uses the same page: switch between Sign in and Create an account with the link under the form. If you forget your password, use Forgot password on the sign-in page to get a reset link by email.
2. Name your workspace
A workspace holds your boards, folders and members. After you sign in for the first time, open the workspace switcher at the top of the sidebar, type a name and press Enter. Pick something your team will recognise, such as your company or department name. You can rename it later from workspace settings. Membership only comes from creating a workspace or accepting an invite, so nobody joins your workspace by accident.
3. Create a board from a template
Choose New board in the sidebar. The template picker offers these starting points, each with its own groups and columns:
- Blank board: Start from scratch.
- Leads / CRM: Track leads through your pipeline. Groups: New leads, Contacted, Qualified, Won, Lost.
- Project tasks: Plan and run a project. Groups: To do, In progress, In review, Done.
- Content calendar: Plan and publish content. Groups: Ideas, Drafting, Scheduled, Published.
- Bug tracker: Report, triage, and fix bugs. Groups: Reported, Triaged, In progress, Fixed.
Templates only set the starting structure. You can rename, add or remove any group or column afterwards. The templates page describes each one in more detail.
4. Add groups and items
A board is made of groups, and each group holds items. Groups usually stand for stages (To do, In progress, Done) or categories (one group per client). Add a group with the button at the bottom of the table, and add items with the row at the bottom of each group. Every item has built-in Owner, Status, Priority and Due date fields. Open an item to write updates, mention teammates and attach files. Items can also have subitems, which sit in a nested table under the parent with their own columns. 5. Add columns
Click the plus at the right of the header row to add a column. TallyWeek has 19 column types:
Text, Long text, Number, Date, Timeline, Checkbox, Dropdown, Tags, Rating, Progress, Email, Phone, Link, Files, Country, Time tracking, Connect boards, Dependency, Mirror.
Dropdown columns let you define labels with colours. Timeline columns power the Gantt view. Connect boards, Dependency and Mirror columns link items across boards. Each type is described in the column reference.
6. Switch views
Every board starts with a Table view and a Kanban view. Use Add view in the view tabs to add more. The available views are:
- Table: A spreadsheet-style grid with groups, custom columns, inline editing and bulk actions.
- Kanban: Drag cards across status columns. Every board gets one out of the box.
- Calendar: Items with dates land on a month view. Drag to reschedule.
- Gantt: Timeline bars from any timeline column, with dependencies between items.
- Dashboard: Counts by status, priority and group, read live from the board's items.
- Form: A public form that turns each submission into an item on the board.
Each view is saved on the board with its own filter and sort, so a "My tasks" table and an "Overdue" Kanban can live side by side. The Gantt view appears as Timeline in the tab list. Views are shared by everyone who can open the board.
7. Invite people
Open Invite from the board header or the workspace home and enter an email address. The invitee gets an email with an accept link; if they do not have an account yet, the link creates one. Choose a workspace role when you invite:
- Owner: full control, including workspace settings and billing.
- Admin: everything except changing workspace settings.
- Member: creates boards and works on items; cannot delete or archive boards, manage members or change settings.
- Guest: works only on items and updates on boards shared with them. Guests are part of the Pro plan.
The Free plan includes up to 3 members. To add more people, upgrade to Pro from workspace settings. Roles and what they can do are explained in Permissions and sharing.
8. Install on your phone
TallyWeek is an installable web app, so there is nothing to download from an app store. Open tallyweek.com in your phone browser, sign in, then add it to your home screen:
- iPhone and iPad (Safari): tap Share, then Add to Home Screen.
- Android (Chrome): open the browser menu, then Add to Home screen or Install app.
The icon opens TallyWeek full screen without browser chrome. It needs an internet connection; there is no offline mode.
What next
- Add an automation so status changes move items for you.
